Days Per Period Condition

Overview

The Days Per Period Eligibility condition is a new conditional group membership feature that allows agencies to restrict riders to booking trips on a certain number of days within a time period. This can be used to automatically manage visitor access in compliance with FTA regulations. For example, Riders designated as visitors are automatically restricted once they have utilized service for more than 21 days within a rolling 365-day period.

How Visitor Eligibility Works

  • Days per Period limit: Agencies can configure the number of days that Riders are limited to, as well as the time period.

  • Day-Based counting: The restriction applies to the number of days with trips, not the total number of individual trips

  • Automatic validation: Spare automatically tracks and validates visitor usage when creating request estimates

  • Flexible trip booking: No restrictions on the number of trips per day during the eligible period

Setting Up Visitor Eligibility

Group Configuration

  1. Go to your Rider Group

  2. Click 'Add Condition'

  3. Select 'days per period' and choose the renewal period and days per period. For example, to comply FTA regulations around visitor eligibility, the Renewal Period would be set to 365 days, and the Days Per Period would be set to 21.

Adding Visitors to the Group

  1. Grant membership: Add the rider to the membership group, and check the Days Per Period eligibility condition.

  2. Automatic tracking: Spare will automatically begin tracking the rider's usage against the Days per Period limit.

  3. Optional membership expiry: Enable the membership expiry checkbox ("Valid until") if you want visitor's group membership to automatically expire after the end of the Renewal Period.

The first field is "Valid from". A checkbox next to the word "Today" is checked.  The second field is "Valid until". A checkbox next to the word "Forever" is unchecked. Below this, there are two input boxes. The first is a date input box and the second is a time input box.

Creating a request

  • Eligible visitors: When a visitor is within their Days Per Period limit, requests can be created normally

  • Exceeded Limit: When a visitor has used service beyond their Days Per Period limit, Spare will:

    • Display a warning to booking agents

    • Show that the eligibility condition is not met

    • Prevent automatic request creation

  • Checking days left: When booking a request, booking agents can see how many days are left in the period by expanding the rider requirements
