Reordering Low-Stock Parts with Bulk Purchase Orders

Filter the EAM Parts grid to low-stock items, see what is already on order, and generate draft purchase orders in bulk—one per location.

When parts run low, you need a fast way to see what to order and turn that into purchase orders without leaving the parts list. The Parts grid lets you filter to just the items that need reordering, see what's already on order, and generate draft purchase orders in bulk — one per location — in a few clicks.

  • Low Stock Only filter — narrows the Parts grid to items at or below their reorder point.

  • On-order awareness — stock already on an open purchase order is counted so you don't double-order.

  • Bulk reorder — select the low parts and generate draft purchase orders automatically, grouped by location.


Finding parts that need reordering

Open EAM > Parts to see your full parts list. Use the columns and filter below to focus on what needs attention.

Low Stock Only filter

Turn on the Low Stock Only filter to show only parts whose projected stock is at or below their reorder point. If a location doesn't have a reorder point set, the part's minimum stock is used as the fallback threshold.

Active Purchase Order column

The Active Purchase Order column shows whether each part is already on an open purchase order, with a link straight to that PO. If a part is on more than one active PO, you'll see a +N more link to view the rest.

On Order and Projected Stock columns

Two optional columns (hidden by default — turn them on from the column selector) help you reason about incoming stock:

  • On Order — the outstanding quantity on open purchase orders (ordered or partially received), attributed to the PO's destination location.

  • Projected Stock — current stock plus on-order stock. This is the number used to decide whether a part still needs reordering.

Note: Because reorder calculations use projected stock, parts you've already ordered enough of will drop out of the Low Stock Only filter — even if their current on-hand stock is still low.


Creating reorder purchase orders in bulk

Once you've filtered to the parts that need ordering, you can generate purchase orders for all of them at once.

1. Select the parts

Use the checkboxes to select the low-stock parts you want to reorder. You can select across the filtered list.

2. Choose Create Reorder Purchase Orders

Click Create Reorder Purchase Orders. The selected parts are split into one draft purchase order per location, so each location's stock is replenished on its own PO.

3. Review and adjust the draft

Each draft PO is pre-filled with the parts and a suggested order quantity. The reorder quantity is treated as an order-up-to target — the quantity needed to bring projected stock up to that level, not a flat amount added on top. You can edit vendor, lines, quantities, and add miscellaneous or labour lines before submitting.

4. Purchase order number

New purchase orders default to a timestamped number in the format PO-YYYYMMDDHHmm. You can change it to your own numbering. If you enter a number that's already used in your organization, you'll see an inline error and won't be able to submit until it's unique.


Frequently Asked Questions

Do I need to enable anything to use this?

No. The Low Stock Only filter, the purchase order columns, and bulk reorder are available to all EAM customers using Parts and Purchase Orders — there's no setting to switch on.

Why isn't a part showing as low stock when its on-hand quantity is below the reorder point?

Low stock is based on projected stock (current plus on-order). If you already have enough on an open purchase order to cover the reorder point, the part won't be flagged.

What happens if my selected parts span multiple locations?

You'll get one draft purchase order per location. Each PO contains only the parts for that location.

How is the suggested order quantity calculated?

The reorder quantity is an order-up-to target. The bulk flow orders only the shortfall needed to bring projected stock up to that target, so parts already partly on order are topped up rather than fully re-ordered.

Where do I set the reorder point and reorder quantity?

On each part's location inventory settings. The reorder point is the threshold that triggers low-stock flagging; the reorder quantity is the order-up-to target used when building reorder POs.
