Set Up and Manage Drivers in Spare EAM

Add, edit, import and archive driver accounts from EAM Settings so every driver can complete inspections in the Spare Driver app, with or without a scheduled duty.

Spare Enterprise Asset Management (EAM) lets you create and manage driver accounts directly from EAM Settings. Every driver you add here can sign in to the Spare Driver app to complete vehicle inspections and report vehicle issues, whether or not they have duties scheduled in Spare Demand Response or Fixed Route. This means your whole operation, including drivers on services Spare does not schedule, can run pre-trip and post-trip inspections in one place.

  • Same driver accounts everywhere — EAM uses the same driver accounts as the Demand Response and Fixed Route Drivers pages. A driver created in EAM shows up there too, and changes made in either place apply to both.

  • No duty needed — a driver with no duty scheduled still sees a Vehicle Inspections card on the Spare Driver home screen and can inspect any vehicle.


Find the Drivers page

In the EAM admin portal, go to Settings → Drivers. The list shows every active driver in your organization with their Name, login (Email and/or Username), Created At date, and Last Seen time in the driver app.

From this page you can:

  • Search for a driver by name, email, or username.

  • Filter by Created At or Last Seen. Use Last Seen to find drivers who have never signed in or have not used the app recently.

  • Choose which columns to show with the column picker next to Filter. Any driver custom fields your organization has set up can be added as columns.

  • Switch between the Active and Archived tabs.

  • Export Drivers to a CSV file.

Note: If you don't see Drivers under Settings, the page may not be turned on for your organization yet, or your role may not include permission to view drivers. Contact your Spare representative or your administrator.


Add a driver

Every driver needs their own account to sign in to the Spare Driver app.

  1. Go to Settings → Drivers and click Add Driver.

  2. Enter the driver’s First Name and Last Name. A Photo and Phone Number are optional.

  3. Choose a Login Type and enter the driver’s credentials (see below).

  4. Fill in any custom fields your organization uses for drivers.

  5. Click Create New Driver.

Choosing a login type

Spare supports two ways for drivers to sign in. Your organization may use one or allow both. You only see the Login Type field when both are allowed.

  • Username and PIN (recommended) — enter a Username and a 4-digit numeric PIN. Best for shared tablets and drivers who don’t have a work email. Pick usernames that are easy to recognize and unique (for example, first initial + last name), and avoid easy-to-guess PINs like 1234 or 0000.

  • Email and password — enter the driver’s Email. The driver is sent an email with a link to create their own password, and can sign in once they’ve set it.

Unscheduled Driving

If your organization also uses Spare Demand Response, you’ll see an Unscheduled Driving field. It lets a driver drive their own vehicle for the selected fleet without a scheduled duty. You don’t need it for inspections: leave it empty for drivers who only use the Spare Driver app to inspect vehicles.

Adding many drivers at once

To add or update drivers in bulk, click Import Drivers on the Drivers page. Download the CSV Example File to get the right column headers (they are case sensitive), fill it in, and upload it. When updating existing drivers, leave a cell blank to keep its current value, or enter - to clear it.

Manage an existing driver

Click a driver in the list to open their Driver Details page.

Edit Driver

Update the driver’s name, photo, phone number, username, or custom fields. For security, an existing PIN is never shown. To set a new PIN, enter it in the PIN field. Leave the field blank to keep the current PIN.

Reset a password

For drivers who sign in with email, click Send Password Reset Email on the Driver Details page. The driver gets an email with a link to choose a new password. A driver’s email address can’t be changed from this page.

Archive Driver

Archive drivers who no longer work for you so they drop off your active list. Archived drivers move to the Archived tab, where you can open them and click Unarchive to restore them. To delete a driver permanently, archive them first. Delete is only available on archived drivers.

View in Demand Response

If your organization also uses Spare Demand Response, this button opens the same driver in Demand Response, where you can see their duties, devices, and activity.


What the driver sees

Once their account is set up, the driver signs in to the Spare Driver app with their username and PIN, or with their email and password. If they have no duty scheduled, the home screen shows a Vehicle Inspections card. They tap Start Inspection, choose a vehicle, and complete the inspection form.

Frequently Asked Questions

Do drivers need a duty in Demand Response or Fixed Route to use the Spare Driver app for inspections?

No. Any active driver can sign in and inspect vehicles from the Vehicle Inspections card, even with no duty scheduled.

We already manage drivers in Demand Response. Do I need to add them again in EAM?

No. EAM and Demand Response share the same driver accounts, so your existing drivers already appear in Settings → Drivers. You can manage them from either place.

Which login type should we use?

We recommend Username and PIN for most drivers, especially on shared tablets. It’s faster to sign in and doesn’t need a work email. Use Email and password when drivers use their own devices and have a work email.

Which inspection form will the driver get?

The form depends on the vehicle’s asset type, not on the driver. To change which form a vehicle uses, link the right inspection form to that asset type. See Link Inspection Forms to Assets.

A driver forgot their PIN. What do I do?

Open the driver, click Edit Driver, enter a new 4-digit PIN, and save. Then give the driver their new PIN.
